Procurement

Need-to-pay — purchase requests, catalogs, supplier onboarding, RFQs and sealed tenders, purchase orders, goods receipts, purchase invoices, returns, contracts, blanket releases, scorecards and spend analytics.

Available with the Procurement module. Approvals are a separate right per role.

Flow (/procurement/flow)

Live pipeline: requests → RFQs/tenders → orders → receipts → invoices → paid. Click a stage to filter, spot stuck documents, drill into a chain.

Purchase Requests (/procurement/purchase-requests) — PRQ

Internal request for materials or services. Statuses draft → submitted → approved → quoting → converted | rejected | cancelled.

  • Lines can come from Internal Catalogs (preset supplier and price).
  • Approval workflow by amount.
  • From an approved request: Start RFQ / Tender (sealed bids) or Convert to Order (pick a supplier; PO gets the same products and quantities).

Internal Catalogs (/procurement/catalogs)

Approved items with preset suppliers and prices that requesters can pick from — guided buying.

Supplier Onboarding (/procurement/supplier-onboarding)

Invite suppliers to the portal, review their submitted company details and documents, and approve bank-detail changes (fraud control: supplier-entered IBANs never become active without your approval).

RFQs (/procurement/rfqs) — RFQ

Request for quotation to one or more suppliers. Add supplier quotations manually (paper/e-mail offers) or let suppliers answer in the portal. Compare offers side by side, award, and generate the PO.

Tenders (/procurement/tenders)

RFQs with rfq_type = tender: sealed bids until the due date, public or invite-only. Public tenders appear on /tenders/<company> where new companies can register to bid. After the deadline you run the opening ceremony, score, and award. Supplier Quotations use prefix SQ.

Purchase Orders (/procurement/purchase-orders) — PO

Order to a supplier. Statuses draft → submitted → confirmed → partially_received → received | rejected | cancelled.

  • Approval workflow by amount; confirmation reserves budget as a Budget Commitment (BCM).
  • Customs panel: attach packing lists, bills of lading, certificates of origin.
  • Creates Goods Receipts (partial allowed) and Purchase Invoices; appears as inbound supply in ATP/MRP.
  • Supplier acknowledges in the portal.

Goods Receipts (/procurement/goods-receipts) — GRN · stock ↑

Receive goods into a warehouse against a PO. Posting writes increase movements (lot/serial/expiry captured), creates cost layers at PO price, may create put-away tasks (WMS) and quality inspections (perishables / inspection-required products hold the lot in quarantine until passed). Landed costs can be allocated later.

Purchase Invoices (/procurement/purchase-invoices) — PIN · GL post

Supplier invoice. Statuses draft → submitted → approved → posted | rejected | cancelled.

  • Scan invoice: upload PDF/image; Uktupus extracts supplier, tax ID, lines and totals, matches suppliers/products, flags duplicates and reconciles amounts (optional OpenAI).
  • Three-way match against PO and goods receipt; variances highlighted.
  • Posting: Dr Purchase expense (or Inventory when goods are stocked), Dr Purchase tax receivable / Cr Accounts payable (partner dimension); converts the PO's budget commitment into spend; creates an open item.
  • Standalone invoices (no PR/PO/GRN) require a reason.

Purchase Returns (/procurement/purchase-returns) — PRT · stock ↓ · GL post

Return goods / supplier credit note. Posting decreases stock and posts Dr AP / Cr Purchase returns, Cr Purchase tax receivable (and Cr Inventory when stocked).

Supplier Contracts (/procurement/supplier-contracts)

Framework agreements with negotiated prices, validity and ceilings. Lines price POs automatically; consumption against the ceiling is tracked.

Blanket Releases (/procurement/blanket-releases)

Call-off schedule against an active framework agreement — each planned release creates a draft purchase order on its date.

Supplier Scorecards (/procurement/supplier-evaluations)

Periodic evaluations with weighted quality, delivery and pricing scores (fed by quality inspections, on-time receipts and price variance).

Spend Analytics (/procurement/spend)

Posted purchase-invoice spend by supplier, category, month or project. Only posted supplier invoices are included.
